Section 1: Plan Overview

Purpose

The purpose of this Emergency Communication Plan is to establish clear procedures for notifying staff, parents/guardians, students, emergency services, and the broader school community during emergency situations at [School Name].

Section 2: Communication Team & Roles

The following individuals form the Emergency Communication Team. All team members should have this plan accessible at all times (printed copy and digital copy on their mobile device).

Section 3: Emergency Types & Response Protocols

Each emergency type below defines who authorizes the notification, what channels to use, which template to send, and the expected timeline. All protocols follow the standard Canadian school emergency terminology used across provinces.

3.1 Lockdown (Armed Threat / Imminent Danger)

3.2 Hold-and-Secure (External Threat)

Section 5: Communication Channels Priority

Use the following channels in priority order. SMS is the primary channel because of its speed and near-universal reach. Supplement with additional channels based on the severity and duration of the event.

Section 7: Post-Incident Communication

Post-incident communication is as important as the initial alert. It reassures the community, documents what happened, and identifies improvements for the future.

7.1 Debrief Template

Complete this debrief within 48 hours of any real emergency. Share findings with the school board office and the Emergency Communication Team.

Only the designated Media Spokesperson should issue statements. Coordinate all media responses with the school board communications office.
